How to Choose an IT Asset Disposition (ITAD) Provider for Your Business

Choosing an ITAD provider is a vendor selection decision with direct compliance implications. The evaluation should cover certification, data destruction capabilities, chain-of-custody processes, downstream verification, and pricing. Certification: R2 (Responsible Recycling) and e-Stewards are the two recognized standards for electronics recyclers. Both require annual third-party audits — verify the certification number with the certifying body directly. An uncertified provider claiming to meet these standards without a valid audit number is not actually certified.

Data destruction capabilities should include multiple methods (degaussing, physical shredding, software overwriting), on-site destruction options for highly sensitive environments, and serialized certificates that list each device by make, model, and serial number. Chain-of-custody processes should track each device from your facility to final disposition with documented handoff points. Ask for a sample chain-of-custody form before committing to a vendor.

Downstream verification means the provider can name the specific downstream processors handling each material category — and can provide audit documentation from those processors.
